PARTS OF A FORMAL LETTER

The elements which make up the formal letter do not vary so it is important here to identify them.

The sender’s address include the full mailing address to which a reply can be sent. It appears at the top right or left of a page depending on the formal you choose. The name of the sender does not appears in this section. The position of the name is below the signature.

The date  it is generally placed one space below the sender’s idea.

The recipient address  it contains the full mainly address of the official to receive or treat the letter. If you do not know the recipient name you could use their position, for example. The personel manager, the managing director.

The solution  begins with “dear” followed by the recipient name. If you do not know the recipinet’s name use “dear sir” or “madam”.

The subject  It is generally a fragment state precise purpose of the letter capitalize the first letter of every content word in the subject and underline if the subject is a capital letter you do not need to underline it .E.g Request for Permission                                                                                     REQUEST FOR PERMISSION

Body comprises the content of the letter the greetings the is the conclusion.

The complimentary close  refers to the words of Courtesy that are used at the end of the letter, the closing appears at the end of the letter just before the signature. It is always aligned with the heading in an indented format.

The signature  is placed below the complementary close it come before the writer’s name

The sender’s name  is written below the signature

Attachment/enclusion (optional)  any supporting document that are enclose.
